Reconcile Dashboard and Finance
Dashboard, Financial Overview, and Finance answer different questions. A mismatch is often caused by timing, filters, fees, settlement, refunds, chargebacks, or withdrawals rather than a broken report.
Use this guide when finance asks why balance is lower than sales, why net revenue differs from withdrawable funds, or why two reports “do not match.”
What each area shows
| Area | Best for |
|---|---|
| Dashboard | Quick sales activity and recent purchases |
| Financial Overview | Revenue breakdown, fees, refunds, chargebacks, payment methods |
| Finance | Available, pending, and total balance plus withdrawals |
| Sales | Individual transactions behind a gap |
For report selection, see choose the right report for each question.
Common reasons numbers differ
| Difference | Explanation |
|---|---|
| Sales today vs available balance | Not every approved sale is immediately withdrawable |
| Gross vs net revenue | Affiliate commissions and gateway fees reduce net results |
| Pending balance | Settlement timing or payout delay holds part of the funds |
| Refunds and chargebacks | Past sales can reduce current finance view. See refunds and chargebacks. |
| Date range mismatch | Reports compared with different periods will not match |
| Filters | Product, affiliate, or payment method filters change totals |
| Withdrawals already requested | Withdrawal history lowers available balance |

| Why is net lower than gross? | Financial Overview | Affiliates, gateway fees |

Best practices
- Explain pending balance before the first withdrawal request.
- Compare reports only after filters and date range match.
- Treat Dashboard as a health check, not the withdrawal source of truth.
- Document refunds, chargebacks, and withdrawals when investigating a gap.
- Use export sales and subscriptions for external finance review when helpful.
Common mistakes
- Comparing Dashboard to Finance with different date ranges.
- Ignoring pending balance during launch week.
- Using gross campaign numbers to judge withdrawable cash.
- Forgetting prior withdrawals when explaining a lower available balance.
- Escalating a “report bug” before checking PIX pending and settlement timing.
FAQ
Which report should finance trust for withdrawals?
Use Finance for available balance and withdrawal readiness. Use Financial Overview to explain revenue composition.
Why does net revenue differ from what I can withdraw?
Withdrawable balance also depends on settlement timing, payout delay, refunds, chargebacks, and prior withdrawals.
Should Dashboard and Finance match every day?
Not necessarily. They measure different things. Use this reconciliation workflow instead of expecting identical totals.
