Set up bank accounts and withdrawals
Use this guide before your first payout and whenever finance users need to understand balances, bank account details, fees, payout delay, or withdrawal status.
What you can do in Finance
The Finance area helps sellers understand when funds can be withdrawn and which payout details AtomicPay should use.
| Area | Purpose |
|---|---|
| Balance summary | Shows available, pending, and total funds for the selected business. |
| Bank accounts | Stores PIX or bank transfer details used for withdrawals. |
| Default bank account | Controls which saved account receives withdrawal requests by default. |
| Withdrawal request | Lets eligible users request a payout from available balance. |
| Withdrawal history | Shows withdrawal requests, status changes, and payout tracking. |
| Finance permissions | Limits who can view balances, list withdrawals, view withdrawal details, or create withdrawals. |
Balance types
AtomicPay finance screens can show different balance views:
| Balance type | Meaning |
|---|---|
| Available balance | Funds that are ready for withdrawal. |
| Pending balance | Funds still waiting for settlement, payout delay, or other processing rules. |
| Total balance | The combined view of available and pending funds. |
Pending balance is normal after sales. It does not always mean there is a problem. Check payment method, payout delay, refund risk, chargeback activity, and finance settings before escalating.
Bank account details
| Payout detail | Use it for |
|---|---|
| Account holder name | Identifies who owns the receiving account. |
| Holder document | Confirms the CPF or CNPJ connected to the payout owner. |
| Bank | Selects the bank used for transfer details. |
| Branch and account number | Required for bank transfer payout setups. |
| Account type | Identifies checking or savings account when required. |
| PIX key | Used when the payout setup uses PIX instead of full bank transfer details. |
| Default account | Defines which saved account should receive withdrawals first. |
Add or review a bank account
- Open the correct business workspace.
- Go to the finance or company finance area.
- Open bank account settings.
- Choose the payout method details required for the account.
- Add the account holder name and document.
- Add bank, branch, account number, account digit, and account type when using bank transfer details.
- Add PIX key details when the payout setup uses PIX.
- Save the bank account.
- Set the correct default bank account when more than one account exists.
The account holder and document should match the seller or company that owns the business workspace. Mismatched details can delay or block withdrawals.
Request a withdrawal
- Confirm you are in the correct business workspace.
- Open Finance.
- Check the available balance.
- Confirm the default bank account is correct.
- Enter the withdrawal amount.
- Review any fee, minimum amount, and estimated date shown in the withdrawal dialog.
- Submit the withdrawal request.
- Monitor withdrawal history until the request is completed or rejected.
If the withdrawal action is disabled, check whether the available balance is high enough, the bank account is complete, and the user has permission to create withdrawals.
Finance permissions
Not every team member should have full admin access. Finance users should usually have permissions that match their responsibility:
| Permission | Use it when |
|---|---|
| View balances | A user needs to monitor available, pending, and total balance. |
| List withdrawals | A user needs to review withdrawal history. |
| View withdrawal details | A user needs to inspect a specific withdrawal request. |
| Create withdrawals | A user is trusted to request payouts from available balance. |
Review permissions regularly when employees change roles or leave the business.
Withdrawal troubleshooting
| Problem | What to check |
|---|---|
| Withdrawal button is disabled | Available balance, minimum amount, user permission, and bank account completeness. |
| Bank account is rejected or incomplete | Holder name, document, branch, account number, digit, account type, and PIX key details. |
| Funds are not available yet | Pending balance, payout delay, payment method status, refund risk, or chargeback activity. |
| Wrong account selected | Confirm the default bank account before requesting the withdrawal. |
| Finance user cannot request payout | Confirm the user has permission to create withdrawals, not only view balances. |
Reconcile finance with dashboard reports
Dashboard and sales reports help explain business activity, but finance balance depends on settlement timing, refunds, chargebacks, fees, and payout rules. When numbers do not match, compare:
- Date range used in reports.
- Product or business workspace selected.
- Payment method status.
- Refunds and chargebacks.
- Pending balance and payout delay.
- Withdrawal history.
Best practices
- Add and verify bank account details before the first product launch.
- Keep the default bank account updated when the payout destination changes.
- Give finance permissions only to users who need them.
- Review withdrawal history before opening a support request about missing funds.
- Explain pending balance to the seller or finance team before the first payout cycle.
FAQ
Why is part of my balance pending?
Pending balance usually means funds are still going through settlement, payout delay, or other processing rules. Review payment method status, refund risk, chargebacks, and finance settings before treating it as an error.
Why can't I request a withdrawal?
The most common reasons are low available balance, incomplete bank account details, no default bank account, or missing permission to create withdrawals.
Should I use PIX or bank transfer details?
Use the payout method that matches the seller's receiving account and business setup. The account holder and document should match the person or company that should receive the payout.
Why does Finance not match Dashboard exactly?
Dashboard and Sales show business activity. Finance reflects settlement timing, fees, refunds, chargebacks, payout delay, available balance, pending balance, and withdrawal history.
